7-Step Used Excavator Inspection Checklist 2026

You found a used excavator for sale at a price that looks right. The deal is won or lost before the money moves — and that moment is the inspection. China is the world’s most active source market for second-hand machines: 152,320 excavators were sold at home in H1 2026 and 73,295 were exported, according to China Construction Machinery Association data. With that much volume flowing, condition varies wildly. After 20 years of buying and selling used machines in Shanxi, we use the same 7-step checklist on every excavator before it ships — here it is, so you can use it too.

Before You Start: Documents and Tools

Inspection does not begin at the machine. It begins with the paperwork, because a clean-looking excavator with the wrong serial number is a legal and financial trap, not a bargain.

Tools to bring: a strong flashlight, a small hammer (tap welds and pins), a phone to film everything, and 10 minutes to let the machine cold-start.

Step 1: Structural Inspection — Welds, Cracks, and History of Repairs

Walk the whole machine with the flashlight. On the boom, arm and bucket, look for fresh weld seams, paint that is slightly different, and cracks at the welded joints — these are the first signs of a repaired crack or fatigue damage. Tap suspicious welds with the hammer: a dull, hollow sound means a poor weld underneath.

Check pin and bushing play on the boom, arm and bucket linkage. Grab the bucket and try to lift it by hand — more than 3–5 mm of movement at the pins means worn bushings, which is normal wear but a negotiation point. Grease everything and look at what comes out of the old grease: metallic grey particles mean accelerated wear inside the pin joint.

Step 2: Engine — Cold Start Tells the Truth

Ask the seller not to pre-start the machine. A cold start reveals: hard cranking (weak starter or battery), white smoke (coolant or fuel issues), blue smoke (oil burning), black smoke (overfueling or clogged air filter). A little white smoke that clears in 30 seconds on a cold morning is normal; smoke that stays is not.

With the engine warm, check: oil level and color (milky = coolant in oil), coolant level and condition, turbocharger whine or shaft play, and oil leaks — pay special attention to the area under the valve cover and around the turbo. Listen for knocking that gets louder under load. Record the hour meter value on video at the start and end of the inspection.

Step 3: Hydraulic System — Oil, Cylinders, and Pressure

Hydraulics are the most expensive system to repair on an excavator, so this step carries the most weight. Check the hydraulic oil level and smell: burnt smell = overheated oil, milky color = water ingress. Look at cylinder rods for scoring, pitting and chrome flaking — a scored rod destroys its seal and will leak within weeks.

Inspect all hoses and fittings for wet spots, and check the swivel joint under the cab. Then run the machine and test each movement slowly: boom up/down, arm in/out, bucket curl, swing left/right. Jerky or slow movements point to weak pumps or worn main valves. If possible, do a stall test (full throttle, hold the bucket against the ground for 5 seconds) and listen for pump cavitation or relief valve noise.

Step 4: Undercarriage — Where 30% of the Machine’s Value Lives

On a used excavator, the undercarriage can be worth 20–30% of the whole machine. Check the track chain for wear: measure link height with the flashlight and look for sharpened grouser tips. Check sprocket teeth for hooking, idler and carrier rollers for leaking seals, and the track tension — sag should be roughly a fist height on a flat surface.

Uneven wear between left and right sides is normal (operators turn one way more), but extreme differences can indicate a bent track frame or a failed final drive. Turn the machine in both directions and listen for clicking from the final drives.

Step 5: Electrical and Monitoring System

Start the machine and check the monitor for fault codes. Modern excavators store error history — take a photo of the screen with any codes. Check the wiring harness around the engine and boom for chafing, splices and electrical tape repairs. A machine that runs but shows no codes while the alternator light flickers usually has a simple fix; a machine with a code for a main pump sensor needs a second opinion.

Test everything electric: lights, horn, wipers, air conditioner (run it for 5 minutes — compressors are expensive), and the bucket/monitor controls. Air conditioning that blows warm on a used machine is a frequent and costly surprise.

Step 6: Operation Test — Drive It Like You Own It

Run the machine for 15–20 minutes through a realistic work cycle: travel forward and reverse in both speeds, full swing rotation, a digging cycle with the bucket, and a few passes leveling ground. Watch for: slow boom raise (weak main pump or relief setting), drift (bucket slowly drops with the lever in neutral — internal valve leakage), swing brake issues, and abnormal noise from the swing motor.

Check the final drives after the test — hot oil smell near the travel motors means a failing seal. Check track adjuster grease fittings for damage, and look under the machine after 15 minutes for fresh oil drips. Photograph or film everything; the video becomes your negotiation evidence.

Step 7: Price It with Repair Costs, Not Hope

Every problem you find is a number. Add up realistic repair costs and deduct them from the asking price, then decide: small items (filters, hoses, seals, bucket teeth) are normal maintenance — negotiate but do not walk away. Medium items (track chain, cylinder rechroming, starter) are 5–10% of machine value. Large items (main pump, final drive, engine overhaul) should make you walk away unless the price is a fraction of the repair cost.

Wear parts like bucket teeth, filters, seals and undercarriage components are cheap to source — that is where a parts supplier with a wide catalog pays off. Whatever machine you buy, budget 3–5% of its value for immediate wear parts replacement.

Can I inspect a used excavator remotely? Yes, but only as a first filter. Ask for a live video walkaround with the hour meter visible, cold start, and each hydraulic function demonstrated. Reserve the 7-step checklist for a paid local inspection before final payment.

How much does a professional inspection cost? Typically $200–600 depending on machine class and location. Against a $20,000–80,000 used excavator, it is the cheapest insurance you can buy.

What hour count is too high for a used excavator? There is no magic number. A 6,000-hour machine with full service history can outperform a 3,000-hour machine with none. Inspect condition, not just the counter.

Is it safe to buy a used excavator from China? With document verification and a real inspection, yes — Chinese machines now export to 100+ countries and the market is formalizing with certified programs and auction platforms (d1cm, August 2026). Buy blind and you take the risk; inspect and you transfer it to the seller.

What if the seller refuses an inspection? Walk away. A seller who refuses a basic inspection is telling you something about the machine.

Do I need an EAC certificate for Russia or Kazakhstan? Yes for most machines. Check the TR CU requirements before you buy — machines without EAC documents are the most common customs failure we see in Central Asia shipments.

Can worn bucket teeth be a dealbreaker? No — teeth, cutting edges and filters are consumables. They are a negotiation point and a small budget line, not a reason to reject the machine.

What are the most expensive repair risks? Main pump, final drives, swing motor, engine and hydraulic cylinders. If inspection finds problems in these, price them carefully — they can exceed the machine’s remaining value.

Should I buy with a warranty on a used machine? Chinese dealers increasingly offer 30–90 day parts warranties on certified used machines. It is worth paying a little more for, especially for first-time importers.

How do I export a used excavator from China safely? Work with a dealer who handles customs, EAC/COO paperwork and shipping, and who documents the machine condition in the contract. Your money should never move before the inspection report and export documents are signed.
